Who we are
On the Go Mobility Solutions LLC (“OTGMS”, “we”) is a UAE-registered mobile vehicle maintenance company headquartered in Dubai. We are the data controller for personal information collected through this website (otgms.com) and the fleet portal.
What we collect
- Account data — name, email address, phone number, fleet company name, role (admin / dispatcher / viewer).
- Vehicle data — plate, chassis number, make / model / year, vehicle category, Mulkiya scans, RTA passing certificates, warranty documents you upload.
- Service data — jobs you book, photos uploaded by technicians, scheduled-for timestamps, audit trail of every mutation.
- Billing data — TRN / VAT number, invoice amounts, payment status. Card data is handled by Zoho Books and never touches OTGMS infrastructure.
- Technical data — IP address (for rate limiting and fraud signals), user agent (for browser compatibility), basic PostHog analytics on public pages (anonymous unless you sign in).
Why we process it
- Service delivery — dispatching a vetted technician to your address requires your phone, vehicle details, and zone.
- Billing & tax compliance — UAE federal law requires us to retain invoices for 5 years.
- Safety & dispute resolution — photo evidence and audit logs protect both customer and technician.
- Service improvement — aggregated analytics show which marketing pages convert; we don’t sell or profile individuals.
Who we share with
We share only the minimum needed to deliver service:
- Zoho Books — your name, email, TRN, and invoice line items, for billing.
- Vendor technicians — your vehicle plate, zone, and contact phone, only while a job is active.
- Supabase — our database and storage provider (servers located in ap-south-1, Mumbai).
- Sentry & PostHog — error monitoring and analytics. Both are configured to scrub personal data (phones, emails, document filenames) before transmission. See Sentry’s privacy notice and PostHog’s for their handling.
We do not sell personal data. We do not transfer data outside the UAE except to the processors listed above, which operate under their own legal frameworks.
How long we keep it
- Active account data — for as long as your account is active.
- Billing records — 5 years (UAE tax law).
- Audit logs — 2 years.
- Vehicle documents (Mulkiya, etc.) — deleted within 30 days of account closure or on request.
- Photos of completed jobs — kept for 12 months for warranty purposes, then deleted.
Your rights under UAE PDPL
- Access — request a copy of all personal data we hold about you.
- Correction — fix anything inaccurate.
- Deletion — close your account and erase your data (subject to the retention overrides above for billing / legal compliance).
- Portability — receive your data in a structured, machine-readable format.
- Objection — opt out of processing for analytics or marketing.
Exercise any of these via /fleet/settings → Account & data (export + delete buttons), or by emailing privacy@otgms.com. We respond within 5 business days as PDPL requires.
Security
We follow defense-in-depth: tenant scoping at the application layer, Postgres row-level security as belt-and-braces, private Supabase Storage buckets with short-lived signed URLs for document access, encrypted secrets in Vercel, and full audit logging.
Changes to this policy
We’ll notify you of material changes by email + via an in-app banner. The “Last updated” date at the top reflects the most recent revision.
